Vendors are required to comply with all federal, state, and local laws, and must have a valid license listed below. The Company name on your vendor agreement must match your business license. It is important to note that ALL businesses and non-profit organizations, including churches, are required to have a City of Palmer business license or event permit, even if not selling any 
 merchandise or only accepting donations. The only exception to this is State of Alaska agencies. Additionally, all vendors are responsible for collecting and reporting their own sales tax to the City of Palmer. 

Vendors selling or distributing food products must have a State of Alaska food service permit. Multiple locations must have separate permits.

You are agreeing to comply with all rules and guidelines listed here, as well as any additional that may be verbally communicated by any board member of The Queen’s Guard at the event.

Vendors are responsible for ensuring that all merchandise they are selling has been listed on their vendor agreement. Please list below the types of items you will be selling, if you are not selling items, please list what you plan to hand out/distribute.

Prohibited items are those that The Queen’s Guard deems hazardous, offensive, or a nuisance to the public. The Queen’s Guard retains the right to immediately prohibit the sale or distribution of any item or service that it deems as falling into one of those categories. For example, offensive or sexually explicit items, silly string (think about the clean-up), or caps/popping devices. Additionally, no drugs, synthetic drugs (bath salts, K2, spice, herbal incense packets), or alcohol.

For items that are not family friendly or that would be deemed 18+, these items need to be in a separate section in your space and you as the vendor are responsible for ensuring that you do not make sales to underage attendees.

Do you understand and agree to these guidelines?

Vendor releases and forever discharges The Queen’s Guard their agents, employees, contractors, and their successors in interest [hereinafter collectively referred to as “Releases”] from all actions, suits, claims, demands, and damages of every kind and nature, whether special, incidental, consequential or otherwise, mature or to mature in the future, arising out of or in any way connected with the relationship.

Limited liability insurance coverage is not included in the space fee for vendors, it is not provided by The Queen’s Guard or implied that there is coverage. Vendors are 
required to carry their own insurance and are responsible for any damage or loss caused by their agents, employees, or suppliers to property in which The Queen’s Guard has an interest.

Vendors shall ensure that all their employees and representatives will conduct themselves and their operations in a courteous and friendly manner; and that the booth space is kept clean, with no accumulation of trash, unsightly, or combustible material. All vendors are responsible for disposal of their own trash. Any actions found offensive or obnoxious by The Queen’s Guard shall be immediately terminated upon notice. Vendors shall refrain from communicating negative comments concerning other vendors, vendor’s products, services, or information. Any vendor who persistently interferes with the operation of any other vendor after one (1) warning of the interference, is subject to removal from the event, and possible denial of being at other events put on by The Queen’s Guard.

I do not agree to refraining from interacting with protestors

To ensure everyone’s safety, we have contracted with an outside security company. They will be watching the parking lot and be walking inside the event area to
help keep an eye on things. Don’t be afraid to waive hello to them as they walk by, they are here to help ensure the day goes smoothly. 

It is expected that all vendors, their representatives, and employees will refrain from engaging with any
protesters that may be on the premises and will notify the Queen's Guard and/or security.

In case of emergency, I agree to follow all directions from QG board members, volunteers, and security. Further, I understand that failure to follow directions can delay safety procedures and/or cause precious time to be lost. 

Ultimately, failure to follow directions during an emergency will result in exclusion from future events.

I understand that leaving early without prior arrangement with a Queen's Guard organizer can result in not being invited to future events.

I understand that by typing my name below and submitting payment that I am agreeing to all terms of the vendor contract listed above and that a refund will not be issued if I knowingly violate those terms or cancel my spot at the event with less than seven (7) days notice.
