Support Setup & Decorations Team with transforming the space before guests arrive. Help set up tables and chairs, table décor, signage, registration, displays, activity areas and other event materials according to the event floor plan. Complete a final walkthrough and make sure public areas are clean and welcoming by 1:30 PM.

Support Welcoming & Registration team at the entrance for the entire celebration. Welcome guests, assist with check-in, provide directions and schedules, answer basic questions and help families know where to go. Maintain a warm, organized entrance throughout the event and ensure someone is always stationed there.

Support Food & Hospitality Team with the small-plate experience. Help organize food and refreshments, maintain serving areas, replenish items, support guests and keep hospitality areas clean and inviting.

Help close the celebration with care. Pack MDSA materials and décor, clean tables and activity areas, collect signage and supplies, remove trash as directed, return furniture/materials to their proper locations and complete a final walkthrough before leaving.

Vendor Guidelines

• All vendors are subject to review and approval by MDSA.
• No food vendors are being accepted.
• All products, services, displays, materials, and activities must be family appropriate.
• Submission of an application does not guarantee vendor acceptance.
• Approved vendors will receive confirmation along with setup and event-day details.
• If an applicant is not approved, the vendor fee will be refunded.

As part of your registration, please be prepared to share your business/organization name, what you plan to offer, and a website or social media page (if available) so our team can complete the review.
