Vendors Registration and Rules

VENDOR RULES

  1. All vendors must submit a completed and dated Vendor Application along with the appropriate vendor fee prior to attending the event.  No participant will be allowed to set up without the prior submission of these items.

  2. Snacks offered will not be duplicated if possible. Alcohol is prohibited.

  3. Vendors selling food products that are not pre-packaged must have a valid food permit from Bastrop County. 

  4. Exhibitors displaying wares different than mentioned on their application may be asked to leave AND WILL NOT be refunded their entry fee.

  5. There are 125 open-air booth spaces.  Electricity is available but limited.  You must notify us on the vendor application of your need for electricity and why.  Please limit the number of electrical appliances you bring.  Public restrooms will be available.

  6. Exhibit Spaces are 10 feet by 10 feet.  Snack Vendors and children’s activities will receive more space if needed.  Work and personal belongings such as tables, chairs, boxes, etc. must be within the assigned space.

  7. Absolutely no objects can be driven into driveways.  Exhibitors must clean up their space at the end of the festival.

  8. Exhibitors will be responsible for all booth structures, set up and furnishings, e.g., extension cords, signage, drapes, etc.  Vendors can begin set up at 8:00 am on Saturday, September 28, 2024.  Exhibitors must show and be present during the complete festival from 10:00 am to 4:00 pm on Saturday, September 28, 2024.  No booths will be allowed to close early.

  9. Vendors are required to weigh their tents down with 30 lb. weights on each leg of their tent. 

  10. No refunds in case of rain.  No refunds after September 21, 2024.

  11. Security:  Participants are responsible for the security of their goods.  The Committee and Event Organizers accept no responsibility for stolen or damaged property, accidents, or injury.

  12. Placement of the booths will be at the discretion of the Committee.

  13. The Committee reserves the right to revoke or refuse to grant space at any time, without recourse by the participant.  The Committee shall not be liable to anyone for this action.

  14. No EXCLUSIVE RIGHTS for the sale of any item will be granted.

  15. By placing this order, you are agreeing to the rules.

Location of the Elgin Community Fest/Cookout is at Elgin Memorial Park located at the corner of Main Street & Hwy 95N, 1127 Main Street, in Elgin, Texas.  All vendors are to enter the park from the entrance located on Hwy 95 North.
