We are thrilled to announce that the 2025 Butterfly Walk for Lupus & Fibromyalgia will once again take place at the prestigious Boo Williams Sportsplex in Hampton, Virginia. As pioneers in hosting the first indoor walk for these debilitating illnesses, Social Butterflies Foundation is dedicated to providing a platform for thrivers to unite and advocate for themselves. The event, scheduled for August 2, 2025, promises an afternoon of empowerment, education, and solidarity. With doors opening at noon and the walk kicking off at 1:00 pm, attendees can look forward to a day filled with meaningful connections, entertainment, and the opportunity to make a tangible difference in the fight against lupus and fibromyalgia. Funds raised from the Butterfly Walk for Lupus & Fibro are used to provide free programs and services such as support groups, educational resources, emergency financial assistance, scholarships, summits, health fairs, year-round advocacy, as well as supporting research for a cure. Join us as we continue to raise awareness and support for those affected by these conditions, and together, let's pave the way for a brighter future.

We are pleased to have vendor opportunities for businesses to support the cause while showcasing their products and services. As a registered vendor, your business will be promoted on Social Butterflies Foundation's social media pages, the Butterfly Walk for Lupus & Fibro website, and in our newsletter. Vendors will also be provided the opportunity to do a 60 second video about your business that will be shared on our social media and in the newsletter.

Vendor Opportunities

$100 Vendor (Vendor Brings Their Own Table & Chairs) The vendor is responsible for providing their own table and chairs to showcase and sell their product(s). The vendor can bring additional tables, racks, and equipment to set up their business. The vendor may bring one additional person to help manage their business. Any additional persons must register for the Butterfly Walk by visiting www.butterflywalkforlupusandfibro.org. 

$125 Vendor (Table & Chairs Included) One six-foot table and two chairs will be provided and already set up in the vendor's location. The vendor can bring additional tables, racks, and equipment to set up their business. The vendor may bring one additional person to help manage their business. Any additional persons must register for the Butterfly Walk by visiting www.butterflywalkforlupusandfibro.org. 

$150 Food Truck Vendor Food truck vendors must have a food license and required permits to operate in the city of Hampton. Food trucks will be parked in the parking lot in front of the entrance. Someone will direct you when you arrive. We are only accepting two food trucks. We will not have food truck vendors who offer the same type of food. The food truck vendor and one additional person are able to come inside to participate in any part of the Walk. Any additional persons must register for the Butterfly Walk by visiting www.butterflywalkforlupusandfibro.org. 

Please read the following terms and conditions for our vendors:

Vendor is responsible for providing their own table and chairs to showcase and sell their product(s). The table(s) must have rubber caps on the legs so that the track isn't damaged. The tables will be checked upon arrival. If the table(s) are not in this mandatory compliance, then you will not be allowed to set up.  Food truck vendors MUST be licensed to be a food truck vendor in the city of Hampton. Indoor Food Vendors MUST have a food license. Purchasing this vendor package requires the vendor to abide by the following important terms and conditions: 

1. All fees are NON-REFUNDABLE as they are used to promote the event. 

2. Vendors must provide their own company specific equipment to include your table covering, WI-FI OR MOBILE HOTSPOT, etc. 

3. Only one consultant per direct sales company will be allowed. Direct sales consultants MUST email admin@socialbutterfliesfoundation.org before purchasing a vendor package to ensure that your company has not been secured. 

4. Vendor spots are filled on a first come first served basis 

5. Vendor fee includes the Walk Registration fee for ONE additional person to help run your business. Any additional persons must register for the Walk by visiting www.butterflywalkforlupusandfibro.org. 

6. If for some reason beyond our control that the event has to be postponed, we will notify all vendors immediately. Vendors will be able to showcase their business on the new date. If the new date is not good for the vendor, they will have the option to vendor at one of our other upcoming events. 

7. Vendors may bring additional tables and chairs if needed or racks. 

8. There will be volunteers to help direct you to your setup area, but we do not have the staffing nor equipment to help you load and unload your items. We strongly suggest that you bring assistance and your own wagons, carts, dollies, etc. 

9. Set Up Time: Vendor set up is at 10:00 AM. There will be volunteers to show you where your business can set up. All vendors must arrive on time for set up. Doors open at noon. Vendors will not be permitted to set up after 12:00 PM because it will cause disruption. Break down begins at 4:00 PM. Vendors are responsible for transporting and setting up their own equipment and merchandise. 

10. Vendors are responsible for leaving the area in the same condition as they found it- clean and without damage. 

11. As we get closer to the event date, vendors will be emailed pertinent information about set up to include the layout.

PARTICIPANT WAIVER AND PERMISSION (REQUIRED)

I understand that my execution of this Waiver is a prerequisite for participation in the Butterfly Walk for Lupus & Fibromyalgia® event, including, but not limited to, training programs prior to the event (collectively the “Event”).

  1. I understand that in order to be allowed to participate in the Event, I agree to assume all risks and to release and hold harmless the Social Butterflies Foundation, and their affiliates, divisions, assigns, successors in interest, agents, servants, employees, officers, trustees and directors, past and present and each of them, and Boo Williams Sportsplex, its officers, agents, employees, assigns, successors in interest, contractors, vendors (and their agents), agencies, sponsors, officials, and volunteers, including walk leaders, participating communities and clubs and all government and public entities including, but not limited to, the State, County and local municipalities where the events take place (collectively the “Released Parties “).

2. Anyone who has not officially registered for the Butterfly Walk for Lupus & Fibro that decides to participate with you assumes all risks and releases and hold harmless the Social Butterflies Foundation, and their affiliates, divisions, assigns, successors in interest, agents, servants, employees, officers, trustees and directors, past and present and each of them, and Boo Williams Sportsplex, its officers, agents, employees, assigns, successors in interest, contractors, vendors (and their agents), agencies, sponsors, officials, and volunteers, including walk leaders, participating communities and clubs and all government and public entities including, but not limited to, the State, County and local municipalities where the events take place (collectively the “Released Parties “).

3. I understand and agree that this release will have the effect of releasing, discharging, waiving, and forever relinquishing any and all actions or causes of action that I may have or have had on my own behalf and on behalf of my survivors, heirs and estate, whether past, present or future, whether known or unknown, and whether anticipated or unanticipated by me, arising out of my participation in the Event. This release constitutes a complete release, discharge and waiver of any and all actions or causes of action against the Released Parties.

4. I understand and agree that this release will have the effect of releasing, discharging, waiving, and forever relinquishing any and all actions or causes of action that I may have or have had on my own behalf and on behalf of my survivors, heirs and estate, whether past, present or future, whether known or unknown, and whether anticipated or unanticipated by me, arising out of my participation. This release constitutes a complete release, discharge and waiver of any and all actions or causes of action against the Released Parties, including claims for wrongful death.

5. I understand and agree that this release applies to personal injury, property damage, or wrongful death that I may suffer, even if caused by the negligent actions or omissions of others. I understand that by agreeing to this release that I am assuming full responsibility for any and all risk of death or injury or property damage suffered by me while participating in the Event, including training prior to the Event. I understand and agree that this release will be binding on my heirs, my personal representatives, and my assigns.

6. I understand that I am solely responsible for my health and safety, and I acknowledge that I am physically capable of participating in and completing this Event. I understand that I must have valid health insurance at the time of the event. Further, I acknowledge that I am at least 18 years of age.

7. I understand that I am responsible for my own safety on this event, and I will abide by all Event and traffic rules.

8. If a Volunteer: I understand that I will be part of the volunteer service organization on the Event. I also understand that am not required to meet a fundraising minimum in order to participate.

9. I agree to allow the Released Parties, and their contractors, agencies and sponsors, the use of my name and likeness in connection with the Event for any purpose related to the advertising or promotion of the Event, worldwide in perpetuity in all forms of media now and forever known.

10. Should any portion of this Waiver be judicially determined invalid, voidable or unenforceable, for any reason, such portion of this Waiver shall be severable from the remaining portions herein and the invalidity, voidability, or unenforceability thereof shall not affect the validity, effect, enforceability, or interpretation of the remaining provisions of this Waiver. I have carefully read this Waiver and fully understand its contents. I am aware that this is a release of liability and I agree of my own free will.
