Vendor Responsibility and Liability All vendors participating in RamadanCon assume full responsibility for their booths, merchandise, and any interactions with attendees. The event organizers, sponsors, and venue owners shall not be held liable for any damages, losses, theft, injuries, or claims arising from vendor participation. Vendors agree to indemnify and hold harmless RamadanCon and its affiliates from any legal or financial liability resulting from their participation in the event. Vendors are responsible for ensuring their booths and activities do not pose any safety risks or hazards to attendees or other vendors.II. Permitting and Compliance Vendors are solely responsible for obtaining any and all required permits, licenses, and approvals necessary for their operations, including but not limited to health permits, food handling certifications, and sales tax licenses. Vendors must comply with all local, state, and federal regulations applicable to their business and are required to provide proof of compliance upon request. Failure to secure the proper documentation may result in removal from the event without refund.III. Refund Policy Refunds will only be granted if a vendor cancels within 48 hours after purchasing a booth. No refunds will be issued for cancellations made beyond this timeframe. Refund requests must be submitted in writing to the event organizers. Refunds are subject to a processing fee, and any booth resold by the event organizers following a cancellation does not entitle the original vendor to any additional compensation.IV. Prohibited Items and Boycott Compliance To align with RamadanCon’s ethical standards, vendors are strictly prohibited from selling, promoting, or distributing products from companies included on the BDS (Boycott, Divestment, and Sanctions) list. This includes, but is not limited to, Coca-Cola products, Nutella products, and any other items found on the Boycatt App. Vendors are responsible for ensuring compliance with this policy. Violation may result in immediate expulsion from the event without refund. Vendors found in violation may also be barred from future participation in RamadanCon.V. Booth Setup and Breakdown Vendors must adhere to designated setup and breakdown times. Failure to comply with the scheduled times may result in additional fees or removal from future events. All booths must be maintained in a clean and professional manner throughout the event. Vendors must ensure that all equipment, displays, and merchandise remain within the allocated booth space and do not obstruct walkways or neighboring booths.VI. Sound and Noise Restrictions To maintain a comfortable environment for all attendees, the use of projected sound, including but not limited to loudspeakers, microphones, music, or amplified audio of any kind, is strictly prohibited. Vendors are not permitted to use sound systems that may disrupt adjacent booths or interfere with event programming. Failure to comply may result in a warning, penalty, or removal from the event without refund.VII. Insurance and Risk Management RamadanCon does not provide insurance coverage for vendors. It is strongly recommended that vendors obtain their own liability insurance to cover any potential claims arising from their participation in the event. Vendors assume all risks associated with their participation, including but not limited to property damage, injury, theft, loss, or adverse weather conditions. The event organizers bear no responsibility for vendor losses or damages.VIII. Event Modifications and Cancellations The event organizers reserve the right to modify event details, including date, time, and venue, as necessary. In the case of an event cancellation by RamadanCon, vendors will be offered a full refund or the option to transfer their booth reservation to a future event. Vendors acknowledge that unforeseen circumstances such as natural disasters, government restrictions, or safety concerns may result in modifications or cancellations, for which the event organizers shall not be held liable.IX. Code of Conduct Vendors are expected to conduct themselves professionally and respectfully at all times. Any behavior deemed inappropriate, disruptive, or in violation of event policies may result in removal from the event without refund. Vendors are required to treat attendees, staff, and fellow vendors with courtesy and must adhere to all event regulations. Harassment, discrimination, or offensive behavior of any kind will not be tolerated.X. Agreement to Terms By completing the booth registration and submitting payment, vendors acknowledge that they have read, understood, and agreed to abide by these terms and conditions. Failure to comply with any of the above provisions may result in immediate expulsion from RamadanCon without refund or recourse.
