What every donation thank-you letter must include

Two checklists. The first keeps you compliant. The second keeps the donor.

Getting the tax-deductible receipt right (ATO / DGR rules)

Not every thank-you letter needs to double as a tax receipt, but when it does, the requirements come from the Australian Taxation Office (ATO), grounded in your organisation's DGR status.

For a donation to be tax-deductible in Australia, your organisation must be DGR-endorsed (a Deductible Gift Recipient, endorsed by the ATO under Division 30 of the Income Tax Assessment Act 1997). ACNC registration alone does not make donations tax-deductible. Only about 41.5% of ACNC-registered charities hold DGR endorsement (ACNC DGR fact sheet). If you are not DGR-endorsed, you can still send a thank-you letter, just don't call it a tax-deductible receipt.

Required fields on an ATO-compliant tax-deductible receipt:

  • Your organisation's name
  • Your ABN (Australian Business Number)
  • A statement confirming DGR status (use the canonical line: "Donations of $2 or more are tax-deductible")
  • The donation amount
  • The date the donation was received

The minimum deductible gift is $2. Donors claim the deduction on their personal income tax return. They can verify your DGR status on ABN Lookup.

What is NOT tax-deductible in Australia:

  • Raffle tickets, gala dinner tickets, event registration fees, or auction items where the donor receives a benefit
  • The value of volunteer time or services
  • Donations to charities that are ACNC-registered but not DGR-endorsed
  • Bequests (these follow separate estate and inheritance rules)

Australia has two separate regulators. The ACNC registers charities; the ATO separately endorses DGRs. Registering with the ACNC does not automatically make your donations tax-deductible. You also need DGR endorsement from the ATO. (ATO DGR endorsement eligibility)

Recommended for donor retention

  • A warm, personalised greeting (first name, not "Dear Friend")
  • A specific reference to what the gift will do, a named program, a number, a beneficiary
  • A short story or image of impact
  • A signature from a real person (Executive Director, Board Chair, or program lead)
  • A soft next step, newsletter sign-up, event invite, facility tour, not another ask

Acknowledging a donor's generosity is good fundraising practice. The warmest, most effective thank-you letters in the Australian sector share three qualities: they are specific, they are prompt, and they make the donor feel seen.

The Tier-1 Australian charities whose donor copy sets the standard, Australian Red Cross, Cancer Council, Fred Hollows Foundation, and McGrath Foundation, all combine a warm personal tone with the canonical trust line: "Donations of $2 or more are tax-deductible." That one sentence, paired with ACNC-registration confirmation and your ABN, is the single most-mimicable trust formula in Australian donor communications.

Saying thank you builds genuine bonds with donors and supporters, encouraging repeat giving, attracting new supporters who see your appreciation, and reminding your team why the work matters.

1. Event attendee thank-you letter

Event attendees are often your easiest pipeline of first-time donors. Your online donation platform should fire an automatic receipt the second they register. Your thank-you is the layer on top, the human touch.

Note: Event registration fees and ticket purchases are generally not tax-deductible where the attendee receives a benefit (attendance). If a donor makes a separate donation at the event, that donation of $2 or more can be receipted separately as tax-deductible if your organisation is DGR-endorsed.

4. Major gift thank-you letter

For major gifts, the rules change. Always physical mail. Always within 48 hours. Often a phone call before the letter arrives. Signed by the Executive Director and, when appropriate, the Board Chair.

Phone call script (60 seconds, day of gift):

Hi [Donor], it's [Name] from XYZ. I just saw your gift come through and I had to call before the day got away from me. I can't tell you what this means for the [program]. A letter from [Executive Director] is on its way, but I wanted you to hear it from a person first. Thank you.

5. In-kind donation thank-you letter

For in-kind gifts, ATO rules are clear: describe the donated property, but do not assign or confirm its value. Under ATO rules, a receipt for a non-cash gift should describe the property but must not assign a value. The donor is responsible for determining the deductible amount based on ATO valuation rules. Template variation (services): Donated services are generally not tax-deductible under ATO rules, but out-of-pocket expenses related to volunteered services may be. Acknowledge the contribution without assigning a deductible value.

6. Corporate sponsor thank-you letter

Sponsorships are part gift, part business transaction. Your thank-you should acknowledge the partnership and confirm what the sponsor receives in return (logo placement, signage, mentions).

In Australia, sponsorship payments where the sponsor receives a benefit are treated as a business expense for the sponsor, not a tax-deductible donation to your organisation. If your organisation is GST-registered, the sponsorship invoice should show the price and 10% GST separately as a GST tax invoice.

Gifts in wills can be disclosed during the donor's lifetime (a bequest intention) or realised after their death (the estate gift). Both deserve acknowledgement, but the tone differs sharply.

Note: Gifts in wills (bequests) are made from the estate and follow separate estate and inheritance rules. The estate, not the individual donor, is the giver for tax purposes. For specific guidance, consult your solicitor or the ATO.

The subject line is the only part of your thank-you 60% of donors will see. Treat it like a headline.

For first-time donors

Three rules across all of these: use the donor's first name, keep it under 50 characters, and never use "Donation receipt" as your subject line for the human thank-you. Save that for the actual receipt.

How to send your thank-you letters

Templates are commodity. The send is the differentiator. Here's the stack most retention-focused not-for-profits run.

The receipt (automated, instant)

Every online donation should trigger a tax-compliant receipt within seconds. The email thank-you (within 24 hours)

For first-time donors, event attendees, and regular givers, an email thank-you within 24 hours is the standard. Personalise the first name, the gift amount, and the impact line. Everything else can be the same email.

The physical letter (within 48 hours, for major gifts and capital campaigns)

For gifts above your major-gift threshold (often $500 to $1,000 or more), nothing replaces paper. Send physical letters via your usual print-and-post workflow to keep this format sustainable even for organisations without a mailroom.

The data layer

None of this works if you can't see who gave what, when. A donor management system lets you segment by gift size, recency, and channel, so the right donor gets the right letter on the right day.

Best practices for writing thank-you letters that work

Personalise beyond the first name

"Dear Sarah" is table stakes. Reference the specific gift amount, the campaign, the event they attended, the program their dollars fund. Use your donor database to pull the next layer down.

Send within 48 hours

The half-life of donor gratitude is short. A thank-you that arrives two weeks later reads as obligation; one that arrives the same day reads as relationship. Send within 24 to 48 hours of receiving the gift.

Show impact in concrete numbers

Don't say "your gift makes a difference." Say "your $25 paid for one week of after-school snacks for a child in our program." Specificity is the difference between a thank-you that gets remembered and one that gets archived.

Use donor-centred language

Lead with "you" and "your," not "we" and "our." Compare:

  • "We are doing incredible work in the community."
  • "You just funded incredible work in the community."

Get the trust line right for Australian donors

The canonical Australian trust formula is: "Donations of $2 or more are tax-deductible," paired with your ACNC-registration confirmation and ABN. This exact formula appears across Australian Red Cross, Cancer Council, Fred Hollows Foundation, and McGrath Foundation donor pages, and is the single most-mimicable trust line for Australian thank-you letters.

If you are a federated national charity with state-based ABNs (such as Vinnies, RSPCA, or Guide Dogs), your thank-you should name the relevant state entity's ABN, not a generic national one.

Don't ask in the thank-you

The thank-you is not the next solicitation. Soft next steps are fine, newsletter sign-up, event invite, facility tour. A direct donation ask in a thank-you letter undermines the gratitude. Save it for next quarter.

Lean on automation, but keep humans in the loop

Soft next steps are fine: a newsletter sign-up, an event invite, a facility tour. A direct donation ask in a thank-you letter undermines the gratitude and can feel transactional to the donor.

How do I personalise thank-you letters at scale?

Start with your donor management system. Merge fields for first name, gift amount, gift date, and fund or campaign name give you four layers of personalisation with no extra effort per letter. Segment your file by gift size and write a different template for each tier (for example, $2 to $99, $100 to $999, $1,000 and above). Automated receipts handle the compliance layer; your human letter handles the relationship layer.

Can the tax receipt double as the thank-you letter?

Yes, and many Australian not-for-profits do exactly this for smaller gifts. If you customise the body of your automated tax-deductible receipt to include a warm personal message, the donor gets compliance and gratitude in one email. For gifts above your major-gift threshold, a separate physical letter is still best practice. Just make sure the receipt includes all required ATO fields: your organisation's name, ABN, a statement that donations of $2 or more are tax-deductible, the donation amount, and the date.

What does the ATO require on a tax-deductible receipt in Australia?

For a receipt to support a tax deduction, your organisation must be DGR-endorsed by the ATO. The receipt must include: your organisation's name, your ABN, a statement confirming DGR status (the canonical line is "Donations of $2 or more are tax-deductible"), the donation amount, and the date. The minimum deductible gift is $2. Donors claim the deduction on their personal income tax return and can verify your DGR status on ABN Lookup at abr.business.gov.au. How long should a donation thank-you letter be?

For email, one to two short paragraphs plus a receipt block is plenty. For a handwritten note, three to five sentences. For a major-gift physical letter, one page maximum. Shorter is almost always better. The donor wants to feel acknowledged, not lectured. One specific impact sentence does more work than three paragraphs of general appreciation.

We're ACNC-registered but not DGR-endorsed. Can we still send thank-you letters?

Yes, absolutely. Send them. What you can't do is call the letter a tax-deductible receipt, or write "Donations of $2 or more are tax-deductible" on it.
