Before you write a word, decide who this letter is for. A first-time donor needs a different ask than a five-year regular giver or a lapsed donor you haven't heard from in 18 months. Use merge fields in your email platform or donor management tool to insert the donor's first name, last gift amount, and last gift date automatically. Even two or three personalised fields in the greeting and opening sentence lift response rates meaningfully. Segment your list before you personalise: a lapsed-donor template personalised with the right segment variables outperforms a current-donor template with perfect personalisation applied to the wrong audience.
